AI assistant

Add a chat helper to your website that answers visitors' questions from your own pages, products, posts and the quick answers you write yourself.

Your website's AI assistant is a friendly chat helper that sits in the corner of your site. When a visitor has a question, where is my order, do you ship to my country, what is on your next tour, they tap the chat button and get an answer drawn from your own content. It does not invent answers. It works from the pages, products, posts, and quick answers you give it.

You turn it on, give it a name and a greeting, and TribeNest handles the rest.

Turning it on

Go to My Website then AI Agent.

  1. Flip the Enable the assistant switch on. A chat bubble appears on your published website straight away.
  2. Fill in the details under Configuration, covered below. Your changes save as you go.

Not seeing the option?

The AI assistant has to be switched on for your account before the settings appear. If the page says it is not available yet, ask us to turn it on.

Setting it up

Once the assistant is enabled, a Configuration panel lets you shape how it looks and behaves.

  • Assistant name, what the chat window is titled. Something like "Ask us" or the name of your project works well. Leave it blank and it simply shows "Assistant".
  • Greeting, the first line a visitor sees when they open the chat, for example "Hi! Ask me anything." Set the tone here.
  • Instructions, a free-text box for tone, do's, and don'ts. Tell the assistant how to sound (warm, playful, professional) and set ground rules: what to steer people toward, what to avoid saying.

Extra abilities

Two switches let the assistant do more than answer questions.

  • Allow order status lookups. A visitor can check where their order is by giving their order number and email. Handy if you sell merch and get a lot of "where is my package".
  • Allow email capture. The assistant can add interested visitors to your email list right from the chat, so a curious visitor becomes a subscriber without leaving the conversation.

Leave either off if you would rather keep the assistant purely for answering questions.

Your credits and the monthly cap

The assistant uses AI credits each time it answers. You can cap that so it never runs away with them.

  • Monthly credit cap, a number that limits how many credits the assistant can use in a month. Leave it blank for no limit.
  • Just below it you will see how many credits you have used this month, and how much of your cap that is. Check back any time to see how much the assistant is being used.

Keeping costs predictable

Setting a monthly cap is a simple way to keep spending predictable. If the cap is reached, the assistant pauses for the rest of the month and picks up again when the new month starts.

Controlling how often visitors can chat

The Rate limit field caps how many messages a single visitor can send per minute. It stops one person firing off a huge number of messages in a short burst, which protects both your credits and everyone else's experience. Something like 8 is plenty for a normal conversation.

Building your knowledge base

The knowledge base is everything the assistant knows. Open it from My Website then AI Agent, then use the section switcher in the top right corner to go to Knowledge base.

At the top you get a quick count of your sources: how many are Ready, how many are still Indexing, and any that Failed. Below that is the list of everything the assistant can draw on.

Where its knowledge comes from

  • Your site content. Your website pages, products, events, blog posts, courses, coaching, and collection entries are pulled in for you. You do not add these by hand.
  • Uploaded documents. Drag a file onto the list, or click Upload, to add documents and text files. Great for a policy sheet, a press kit, or a detailed FAQ.
  • Quick answers. Click Add FAQ to write a title and a short answer the assistant should always know, like your shipping times or refund policy. Perfect for the questions you get again and again.

Keeping it tidy

  • Use the search box and the type chips (Document, Website, Product, FAQ, and so on) to find one source in a long list.
  • Hover any source and click the trash icon to remove it.
  • Each source shows a status. Ready means the assistant can use it. Indexing means TribeNest is still adding it, which happens in the background and only takes a moment. Failed means something went wrong with that source, so try removing and re-adding it.
  • Click Re-index all to refresh everything at once. A good move after a batch of changes to your site, or after adding several documents.

It keeps itself current

When you edit your site, add a product, or publish a post, TribeNest keeps the assistant's knowledge up to date for you. You only add things manually when they do not already live on your site, like an uploaded document or a quick answer.

Reading your conversations

Curious what visitors are actually asking? From My Website then AI Agent, use the section switcher to open Conversations.

Here you will find every chat visitors have had, newest first. Each row shows a short title, whether it was a Visitor or a signed-in Member, how many messages were exchanged, and how long ago it happened.

Click any conversation to read the full transcript. Use Prev and Next to move through the pages when you have a lot of them.

A goldmine for improvement

Conversations are the best way to spot gaps in your knowledge base. If the assistant keeps fumbling the same question, add a quick answer for it and the next visitor gets a perfect reply.

What visitors see

On your published website, the assistant appears as a chat button in the bottom corner. Tapping it opens a chat window with your greeting. The visitor types a question, and the assistant replies from your content, pointing them at the right product, page, or post as it goes. They can close it any time and carry on browsing.

It styles itself to match your site automatically, so it feels like part of your page rather than something bolted on.
