The door and box office

Scan people in, watch the room fill up, sell on the night, and give a door-only helper exactly what they need.

Event night has its own set of screens. The door dashboard tells you how the room is filling. The scanner admits people. The box office sells to whoever turns up without a ticket. And the attendee list is your paper backup.

All four live on the event, and a helper who only works the door can reach exactly those and nothing else.

Finding tonight's show

If you have full access to Events, open the event from Events then My Events, then use the three-dot More menu.

If you are on the door and that is all you do, go to Events then Door. That page lists the shows you can scan into, soonest first, covering everything from earlier today through the next week. Each row shows the title, the day and start time, the doors time, the room, and whether it is on sale or sold out. Click a row, or Open door, and you are in.

Door staff find their own event now

Someone who only holds the door permission does not need to be sent a link. The Door page is the one list they can read, and it takes them the rest of the way.

The door dashboard

From the event's More menu, choose Door dashboard. Four numbers sit across the top:

  • Checked in, shown as admitted out of everyone expected.
  • Still outside, expected but not yet admitted.
  • Scan rate, how many have come through in the last few minutes.
  • Voided, refunded and revoked tickets, which count as neither expected nor admitted.

Underneath: your Venue capacity (or "No cap set"), the Doors open time, and the First scan and Last scan times. Then a table breaking checked in, still outside, voided, and last scan down by ticket type, which is how you spot that the VIP queue has stalled while GA is flying.

Click Refresh to pull the latest numbers, and Scanner to jump straight into scanning.

Exceptions

An Exceptions panel keeps an honest record of anything unusual: duplicate scans, reversals, and time corrections, with a count of each and a list showing which pass and which staff member. If nothing odd has happened it simply says so.

Who is in, and undoing a mis-scan

Below that is the full attendee list for the night, with each person's name, ticket type, and status. A checked-in guest shows the time they came in. A refunded ticket is flagged as not valid.

If someone was scanned by mistake:

  1. Find them in the list.
  2. Click Undo.
  3. Read the confirmation. It names the person, their ticket, and when they were admitted.
  4. Optionally type a reason, which is kept in the record.
  5. Click Reverse check-in.

Their pass becomes scannable again and they are counted as still outside.

The check-in scanner

The scanner turns any phone, tablet, or laptop into a QR reader. Every ticket TribeNest sends carries a QR code.

  1. From the event's More menu, choose Check-in Scanner (or hit Scanner from the door dashboard).
  2. Click Start Camera and allow camera access when your device asks.
  3. Hold the guest's QR code up to the camera, from their phone screen or a printed ticket.
  4. You get one of three results:
    • A green result means the ticket is valid and the guest is now checked in. Their name and ticket type are shown.
    • A yellow result means the ticket has already been used. Do not let the same code in twice.
    • A red result means the ticket is not valid for this event, with the reason underneath.
  5. The scanner pauses for a couple of seconds, then resumes. Keep holding tickets up.

Click Stop Camera when you are done.

Typing a pass ID by hand

If a code will not scan, because of a wet phone, a cracked screen, or a faded printout, use Or enter pass ID manually at the bottom of the screen. Type or paste the pass ID and click Check In. You get the same green, yellow, or red answer.

Run check-in on more than one device

For larger events, several people can scan at once on different devices. Each of them needs door access on your account. See team permissions.

The box office

Selling on the night, to the person at the front of the queue with cash in hand.

From the event's More menu, choose Box office. Four summary numbers show Taken at the door, how much came in by Card, how much by Cash / other, and how many were Comped.

To make a sale:

  1. Fill in the buyer's First name, Last name, and Email. The ticket is sent to that address.
  2. Under Tickets, type a quantity next to each tier you are selling. Each row shows the price and how many of that tier have sold.
  3. Choose How are they paying?:
    • Cash, meaning money is in the drawer. The order settles and the pass exists straight away.
    • Other, for a card terminal, a bank transfer, or anything settled outside TribeNest.
    • Comp, meaning it is given away. No money is taken, and comps are one ticket type only.
  4. Optionally add a Reference, such as a drawer, receipt, or terminal number, so a cash drawer can be reconciled later.
  5. Check the To collect total, then click Complete sale.

A door sale is an ordinary sale. Same inventory, same passes, same email to the buyer. The only difference is how the money arrived.

Taking a card at the door

Charge it on your own card terminal, then record the sale as Other with the terminal reference. That keeps your takings and your terminal in step.

If you comp a ticket into a full tier or a full room, you get a Issue beyond capacity checkbox. Ticking it issues the ticket anyway, on the grounds that the room really will hold one more person than it says.

The attendee list

For a printed backup, or to hand to a venue manager:

  1. Open the event and choose Attendees from the More menu.
  2. You get a table of every attendee with their Pass ID, Name, Email, Ticket Type, and Check-in Status.
  3. Click Download PDF for a clean printable copy.

Print a fresh copy on the day

Anyone who bought a last-minute ticket will not be on yesterday's printout.

Giving someone door-only access

You often want a helper who can scan tickets and nothing else. No access to your sales, your fans, or the rest of your account.

  1. Go to Team and invite them, or open an existing member.
  2. Grant the Door check-in permission, described as: scan tickets and read the door manifest for this profile's events, and nothing else.
  3. Save.

That permission stands on its own. It does not grant them the ability to read your events list, your orders, or anything else, and moving your Events level up or down does not add or remove it. What they see when they sign in is the Door page with the shows they can scan into.

The box office is deliberately not part of it. A steward scans tickets, they do not take money, so selling needs full Events access. See team permissions.
