Setting Availability

How to set your available days and times for coaching sessions.

Your availability is the heart of your coaching schedule. It tells your audience exactly when they can book a session with you. TribeNest lets you set specific days and time ranges, so you stay in control of your calendar.

How availability works

When creating or editing a coaching product, you configure your availability by adding availability days. Each availability day specifies:

  • Day of the Week -- Which day you are available (Sunday through Saturday).
  • From Time -- When your available window starts.
  • To Time -- When your available window ends.

TribeNest then breaks your available windows into bookable time slots based on the session duration and buffer time you set for the product.

Adding availability days

  1. When creating or editing a coaching product, scroll to the Availability Days section.
  2. Click the Add Day button.
  3. For each availability day, set:
    • Day of Week -- Select the day from the dropdown (Sunday, Monday, Tuesday, etc.).
    • From Time -- The start of your available window (e.g., 09:00).
    • To Time -- The end of your available window (e.g., 17:00). Must be later than the from time.
  4. Repeat for each day and time range you want to offer.
  5. To remove a day, click the delete button next to it.

You need at least one availability day to create a coaching product. Without it, nobody can book a session.

Adding multiple time ranges for the same day

You can add more than one time range for the same day. This is useful if you have a gap in your schedule. For example:

  • Monday: 9:00 AM - 12:00 PM
  • Monday: 2:00 PM - 5:00 PM

This gives your clients morning and afternoon slots while keeping your lunchtime free.

Time ranges on the same day cannot overlap. If you set Monday 9:00-12:00 and Monday 11:00-3:00, you will get an error. Make sure each range ends before the next one starts.

How time slots are calculated

TribeNest automatically calculates available time slots based on your settings:

  • Session duration -- How long each session is (e.g., 60 minutes).
  • Buffer time -- How much time you need between sessions (e.g., 15 minutes).
  • Availability window -- Your from/to times for the day.

For example, if you are available Monday 9:00 AM - 1:00 PM with 60-minute sessions and a 15-minute buffer, your clients would see slots like:

  • 9:00 AM - 10:00 AM
  • 10:15 AM - 11:15 AM
  • 11:30 AM - 12:30 PM

Tips for setting your availability

  • Be realistic. Only mark times when you know you will be free and ready. Cancelling sessions is a bad experience for everyone.
  • Use buffer time. Even a 15-minute buffer gives you time to prepare, take notes, or just take a breather between sessions.
  • Limit days in future. If your schedule changes often, set a shorter booking window (like 14 or 30 days) so you are not locked into times too far ahead.
  • Review regularly. As your schedule changes, update your availability to match. You can edit your coaching product at any time.
