Calls

Live video with the people who pay you, right on your own site. One call screen, whether it is a members AMA, a course Q&A, or a one-to-one session.

A call on TribeNest is live video in a browser tab. Nobody downloads anything, nobody creates an account with a video company, and there is no separate meeting link for you to keep track of. You schedule the call where it belongs, and everyone who is allowed in gets a way in.

There is one call screen, and it is the same one for everybody. Whether you are running a monthly AMA for two hundred members or sitting down with a single coaching client, you and they see the same controls in the same places. Learn it once.

Where calls come from

A call is always attached to something you already sell. That attachment is what decides who is allowed in, which is why there is no guest list to manage anywhere.

A membership call

Scheduled under Membership then Calls. You pick which tiers can join, or leave the tiers empty and let every active member in. It shows up on your calendar and on the calendar of every member who qualifies. See member calls.

A course or cohort call

Scheduled on the Calls tab of a course or of a cohort. Standing on the course already decides the audience: everyone with access to that course, or everyone enrolled in that cohort. There is no audience picker, and there is nothing to get wrong. See live calls.

A one-to-one coaching session

Not scheduled at all. It exists because somebody booked you. If you set that session type to happen on your own site, the booking carries a call with it, for exactly the two of you. See how clients manage their own sessions.

Who can speak is decided when you schedule

Membership, course and cohort calls each ask you to choose between Host only: members watch and chat and Everyone can speak. On a host-only call, attendees simply do not get microphone, camera or screen sharing buttons. They still get chat, reactions and a raised hand. A coaching session is always a conversation, so both of you have everything.

The join window

Every call opens 15 minutes before the start time and stops letting new people in 2 hours after the end time.

Two things follow from that, and they matter more than they sound:

  • A call that runs long is never cut off. The window only governs new arrivals. Everyone already in the room stays connected for as long as you keep talking.
  • A dropped connection is not the end. As long as you are still inside the window, reconnecting works and you walk back in.

Turning up too early

Open the call before the window and the page tells you so rather than trying and failing to connect. It says This call has not started yet, followed by the exact moment you can come in: "You can join from Tue, 4 Mar, 18:45. Come back then and this page will let you in."

The time is shown in your own zone, and where the session was sold in a particular time zone, in that one. There is no ticking countdown to sit and watch. Come back and the page will let you in.

Turning up too late

After the window the page says This call has ended, and underneath: "The room is closed, so nobody can join it now. If you think that is wrong, ask the host."

If you are the host and you meant to be there, schedule a new call. A closed room cannot be reopened.

Nobody should have to search an inbox for a call. Everyone who can join has a permanent home for it.

For you

Your calls sit on a month calendar: Membership then Calls for member calls, the Calls tab of a course or cohort for course calls, and Coaching then Bookings for one-to-one sessions. Click a call to open its details and then Open call to go in.

There is also Copy link on membership, course and cohort calls, for pasting into an email or a post. The link is not a password. Anyone who opens it still has to be signed in and still has to be in the audience, so a forwarded link does not let a stranger in.

For members

Members get a Calendar tab in their member area on your site as soon as you have ever run a call. It shows only the calls they are allowed to join. Open one and they get Join call once the room is open, or a plain "Opens in 3 hours" before that.

For students

Course students see the same Calendar in the member area, and the calls for a particular course also sit at the bottom of that course's own page under Live calls. A cohort's calls sit on the cohort page. Students also get a reminder email before a call with a way straight in.

For coaching clients

Clients sign in to your site with the email address they booked with and open the Sessions tab of their account area. A session that happens on your site is labelled "Video call on this site", with a Join video call button when the room is open. Before then it reads "Video call: the room opens..." with the time, and afterwards "Video call: this session's room has closed".

It has to be the same email address

A client who booked with a work address and signed in with a personal one will not see the booking, and so will not see the way in. Ask them to sign in with the address on their confirmation email.

Recordings

You can record any call from inside it, and the control is yours as the host. When the call ends the recording is put together into one video, which takes a few minutes, and then appears for exactly the people who could have joined that call. It shows up on the same calendar entry as a Watch recording button, with its length beside it. While it is still being assembled, everyone sees "Recording is processing".
