Inviting and approving partners
Add partners by invitation, review the ones who apply, and manage everyone on your roster from one list.
Your roster is the list of everyone promoting you. You can add people yourself, let them apply, and from the same screen approve, pause or fine-tune anyone on it.
Go to Affiliates in the main menu, then open the Affiliates tab.
Invite a partner directly
The fastest way to start. You already know who you want, so you add them.
- Click Invite affiliate in the top right.
- Enter their Name.
- Enter their Email.
- Click Send invite.
That is it. An invited partner is approved straight away, gets their own code, and earns your program default commission. TribeNest emails them to say they are in, with a link to their affiliate area on your site.
One partner per email
Each email address can only be on your roster once. If the invite is refused because the email already exists, search for them in the list instead. They are already there.
Let fans apply
If you set your program to accept applications (see setting up your program), there is a sign-up form on your site where anyone can put themselves forward. They fill in their name, their email, and an optional note about how they plan to promote you.
You get an email each time somebody applies, including the note they wrote, so you do not have to keep refreshing the roster.
Applicants land on your list with the status Applied. They cannot earn anything yet.
Approve or reject
Applicants have two buttons on their row.
- Click Approve to open the approval box.
- If you turned on affiliate coupons, you can tick Attach a coupon and choose the discount: Percentage or Fixed amount, then a Value. The discount has no default, so this is where you decide how generous each partner's code is.
- Click Approve to confirm.
They are emailed to let them know they are approved, and can start creating links immediately.
Reject moves the applicant out of the way without deleting them. They are suspended, which means they cannot earn, and they see a short note about it in their affiliate area.
Find people on your roster
Two filters sit above the list.
- Status narrows to Applied, Approved, Suspended or Archived.
- Search matches on name, email or code. Type and press Enter, or click the search button.
Click Clear to drop both filters and see everyone again.
Reading the list
Every row shows you the essentials at a glance:
- Affiliate is their name with their email underneath.
- Code is the personal code they promote with.
- Status is where they stand with you.
- Conversions counts the sales they have brought in.
- Lifetime earned is everything they have ever earned, paid or not.
- Paid is how much of that has actually reached them.
Manage one partner
Click any row (or the Manage button) to open that partner's panel. It has five tabs.
Links
Create and remove tracked links on their behalf, and see how many clicks each one has. Covered in links and coupons.
Commission
This tab is where you treat someone differently from everyone else.
- Commission override lets you set this partner's own rate. Choose Use program default to keep them on your standard terms, or Percentage or Flat amount to give them their own. Click Save override.
- Status holds the Suspend and Archive buttons. Suspended and archived partners stop earning on new sales. Anything they already earned is untouched, and still gets paid.
- Link portal account connects a partner to the account they sign in with, for the rare case where they joined your site under a different email from the one on their affiliate record.
Overrides beat defaults
An override applies from the moment you save it. A partner with a 30% override keeps earning 30% even if you later change your program default.
Coupon
Give this partner a discount code carrying their affiliate code, or change the discount on the one they have. Pick Percentage or Fixed amount, set the Value, and click Attach.
Payout
Record how you pay this person: PayPal, Bank transfer or Other, plus the details (an email address, an account, or a note to yourself). Partners can fill this in themselves from their own dashboard, so often it is already there waiting for you.
Tax
Keep track of paperwork so it does not become a scramble at year end. Set the Status to Not requested, Requested or Received, and store a link to the completed form.
Paperwork is your responsibility
TribeNest tracks the status for you, it does not file anything on your behalf. Depending on where you and your partners are based, paying someone commission may create reporting obligations. Check with an accountant if you are not sure.
Pausing and ending a partnership
- Suspend is the pause button. New sales stop earning immediately. Use it while you investigate something odd, or when a partner breaks your terms.
- Archive is for winding things down for good, a partner who has gone quiet or moved on.
- Neither one wipes history. Their past commissions stay on your books, and anything already approved can still be paid out.
